Inviting parents/guardians to subscribe to weekly emails

Note: to bulk upload parent/guardian emails, see “Import parent/guardian emails from CSV

 

  1. Go the Manage classes page
  2. Click on the class where you would like to invite parents/guardians

  1. Click “Manage parent emails” *

  1. On the Manage parent emails page, enter the email of each parent/guardian you’d like to invite below the corresponding student name and click “Send invite(s)”

  1. To invite multiple parents/guardians for a student, hover beneath the last email to reveal the “Add email” button. Click “Add email” and type in the email address(es) of the additional parents/guardians. You can add up to 6 parent/guardian emails per student.

  1. When you’re done adding parent/guardian emails, click “Send invite(s)”

  1. You should now see the emails of the parents/guardians you just invited below their corresponding student. The status tag should display as “pending”
  2. An invite email will be sent to these parents/guardians, prompting them to “subscribe” to their child’s weekly progress reports and music education tips

  3. Once the parent/guardian has successfully subscribed, the status tag next to their name will display as “accepted”
  4. When you’ve sent a parent/guardian invite for all students in the class, the progress bar will display as complete!

* You must have at least one student enrolled in the class to be able to send parent/guardian invites. If there are no students in your class yet, you will not be able to access this page.

 

Note: if a teacher has previously invited a parent/guardian for a certain student (e.g. - for another class in MakeMusic), the parent does not need to be invited again. Parent/guardian emails are tied to the student, meaning they are applied across classes. Any changes you make to a parent/guardian email on one class page will be reflected across all class pages.

 

Tip: To get a better parent/guardian “subscribe” rate, we recommend personally notifying the parents/guardians in your class before you send the invites. Giving the parents/guardians this notice that you’ll be sending them an invite to subscribe to their child’s weekly progress reports will make it more likely that they see and open the invite email.

 

Import parent/guardian emails from CSV

 

You can upload a CSV spreadsheet to bulk import parent/guardian emails. If you have a lot of parent/guardian emails, this should save you time versus entering them manually. 

 

  1. On the Manage parent emails page, click “Import from CSV”

  1. Click “Download template” to download the CSV template.

  1. In the CSV template document, add the student emails or usernames in one column and the corresponding parent email(s) in another column. Save as a “.csv” file.

Note: If you want to add multiple parent/guardian emails for a student, you can create a new row per parent email and duplicate the student’s username or email. A student can have up to six parent/guardian emails.

 

  1. Drag or upload your saved “.csv” file

  1. Upon successful upload, you will be automatically redirected to the “Manage Parent Emails” page, with a success message. All imported parent/guardian emails will be input in the text box(es) below the corresponding student.

  1. Review the imported parent/guardian emails, and click “Send invite(s)”
  2. (See steps 7-10 of Inviting parents/guardians to subscribe to weekly emails above)

 

Managing parent/guardian emails

 

After you’ve sent the parent/guardian invites, you can still manage these emails on the “Manage parent emails” page

 

  1. Go the Manage classes page
  2. Click on the class where you would like to manage parents/guardians

  1. Click “Manage parent emails”

  1. View the status of the parents/guardians you’ve invited **

  1. Use the dropdown filter to show only the selected invite status

  1. Hover over a parent/guardian email to remove the parent/guardian ***

  1. If a parent/guardian invite has expired, you can “Resend” the invite

 

** Invite statuses:

    • “Not Invited” = no parent/guardian has been invited yet for the particular student (no tag)
    • “Pending” = invite sent and active, but parent/guardian has not yet subscribed
    • “Accepted” = parent/guardian has successfully subscribed to email
    • “Expired” = 2+ months since invite sent; parent/guardian has not successfully subscribed

*** Removing the parent/guardian means that parent/guardian will no longer receive the weekly highlight emails for the student. After removing a parent/guardian, you can add a new parent/guardian email for that student to send a new invite.



Samples of emails parents/guardians will receive

  • Invite email to “subscribe”

Note: Reminder invite email (sent 7 and 10 days later if the parent/guardian does not “subscribe”)

 

  • Weekly progress report email (student has had at least one active day in MakeMusic over the last week) ^

 

  • Weekly progress report email (student has NOT had at least one active day in MakeMusic over the last week) ^^

 

  • Parent/guardian music education support series email #1: “Welcome to MakeMusic” (sent within an hour of the parent subscribing)

 

  • Parent/guardian music education support series email #2: “Your child’s musical journey” (sent 7 days after the parent/guardian subscribes)

 

  • Parent/guardian music education support series email #3: “FAQs for parents/guardians” (sent 14 days after the parent/guardian subscribes)



^ This progress report email will be sent to the parent/guardian every Friday. The time of day the email is sent may vary.

 

^^ If the student has 4 consecutive weeks of no activity in MakeMusic, the parent/guardian will no longer receive the weekly emails until student activity in MakeMusic resumes
